Booking conditions
Charter booking conditions
The terms that apply when you book a charter, transfer or day tour with us.
Last updated: 9 August 2026
These conditions apply to charter, transfer and day-tour bookings with Waggie Pty Ltd trading as Wide Bay Charters. They sit alongside the specific inclusions and prices set out in your written quote. Where the two differ, your written quote applies to that booking.
1. Quotes
Quotes are issued in Australian dollars and are valid for the period stated on the quote. A quote is an offer to provide the service described in it. Prices are based on the information you give us — passenger numbers, route, timings, pick-up address, waiting time and luggage. If any of that changes, the price may change, and we will tell you before we proceed.
Unless the quote states otherwise, quoted prices do not include third-party costs such as ferry or barge fares, attraction admissions, tolls, parking fees, meals or accommodation.
2. Making a booking
A booking is confirmed when we accept it in writing and any required deposit has been paid. Until then, the vehicle and date are not held for you. The person making the booking warrants they are authorised to do so on behalf of the whole group and is responsible for payment.
3. Deposits and payment
Most charter bookings require a deposit. The amount, the due date and the balance due date are set out in your written quote and vary with the size, value and timing of the booking. We may decline to carry a group where payment has not been received by the due date stated in the quote.
Approved account customers, including schools, councils and corporate clients, may be invoiced on agreed terms.
4. Changes by you
Tell us about changes as early as you can. We will do our best to accommodate a change to date, timing, route or passenger numbers, but changes are subject to vehicle and driver availability and may change the price. A change that requires a different vehicle class will be re-quoted.
5. Cancellation by you
Cancellation charges depend on how close to the travel date you cancel and on third-party costs we have already committed on your behalf. The cancellation scale that applies to your booking is set out in your written quote. Cancellations must be made in writing.
Where we have paid non-refundable third-party costs on your behalf — ferry fares, admissions, accommodation — those amounts are payable regardless of when you cancel.
6. Changes or cancellation by us
We may need to substitute a vehicle of equivalent or greater capacity, change a driver, or alter a route for operational, safety or legal reasons, including road closures, weather and vehicle breakdown. Where we substitute a vehicle we will provide one suitable for the booking.
If we cancel a booking and the cancellation is not caused by you, we will refund amounts you have paid for the cancelled service. This does not limit any rights you have under the Australian Consumer Law.
7. Events beyond reasonable control
We are not liable for failure to perform where it is caused by events beyond our reasonable control, including severe weather, flood, fire, road closure, industrial action, government direction, public-health orders or civil emergency. Where such an event prevents the service, we will work with you to reschedule where practicable.
8. Timing and delays
Departure times are agreed in advance and the vehicle will depart at the agreed time. Passengers who are not present at departure may be left behind, and we are not responsible for costs arising from that.
Where your booking connects to a flight, ferry, barge or vessel, you must give us the operator's check-in cut-off. We plan to that cut-off and build in buffer, but we cannot accept responsibility for missed connections caused by traffic incidents, road closures, third-party delays or late boarding by your group.
Waiting time beyond the period included in your quote may be charged. Where it applies, the driver will tell you before the additional time begins.
9. Driver hours and fatigue management
Our drivers operate under Heavy Vehicle National Law fatigue-management requirements, which set maximum work times and minimum rest periods. These are legal limits, not preferences. Itineraries must be planned within them, and a driver may decline to continue where doing so would breach those limits. We will identify any such constraint at quote stage wherever we can.
10. Passenger conduct
The driver is responsible for the safety of the vehicle and everyone in it, and passengers must follow the driver's reasonable directions. Seat belts must be worn where fitted, in accordance with Queensland law.
Smoking and vaping are not permitted on board. Alcohol may only be consumed on board where the vehicle and the booking allow it and it has been agreed in writing beforehand. We may refuse to carry, or may remove, a passenger whose behaviour is unsafe, abusive or unlawful, or who is affected to a degree that makes travel unsafe.
11. Damage and cleaning
Where a vehicle is damaged or requires cleaning beyond a normal turnaround as a result of the booking, we may charge the reasonable cost of repair or cleaning to the person who made the booking.
12. Children and restraints
Restraint requirements for young children depend on the vehicle. Tell us the ages of any children travelling at quote stage so we can confirm what the vehicle can accommodate. Children travelling with school or youth groups must be supervised by the group's own staff or nominated adults.
13. Accessibility
Wheelchair-accessible and mobility-assisted transport can be arranged with notice and is subject to vehicle availability. Raise accessibility requirements when you request the quote. We will tell you plainly if we cannot meet a requirement rather than accepting the booking and hoping.
14. Luggage and property
Luggage capacity is confirmed at quote stage and is limited by the vehicle. Passengers are responsible for their own property. We do not accept responsibility for property left on board, though we will make reasonable efforts to return items found.
15. Third-party services
Where your booking includes or connects to services provided by others — ferries, barges, vessels, flights, attractions, accommodation, guides — those services are supplied on the third party's own terms. We are not responsible for the acts, omissions or cancellation of third-party providers.
16. Insurance
We hold compulsory third party and public liability insurance, and certificates of currency are available on request. Our insurance does not cover your personal property or your own travel risks. We recommend passengers hold appropriate travel insurance, particularly for multi-day and connecting travel.
17. Australian Consumer Law
Our services come with guarantees that cannot be excluded under the Australian Consumer Law. Nothing in these conditions excludes, restricts or modifies those guarantees. To the extent permitted by law, our liability for a failure to comply with a consumer guarantee is limited to resupplying the service or paying the cost of having the service resupplied.
18. Privacy
We handle personal information in accordance with our privacy policy and the Privacy Act 1988 (Cth).
19. Bus Buck$
Bus Buck$ loyalty credit is issued subject to the Waggie Group loyalty terms, including issue, expiry, transfer and redemption rules. Bus Buck$ are not redeemable for cash and are not a financial product. Ask us for the current terms before purchasing.
20. Governing law
These conditions are governed by the laws of Queensland, Australia, and the parties submit to the non-exclusive jurisdiction of the courts of that State.
