Group travel planning checklist
Organising a group is mostly about the questions nobody asks until it is too late. Here they are.
Before you request a quote
- Exact pick-up address, not just the suburb — coach access depends on it
- The hard deadline: the time you must be somewhere, not the time you would like to leave
- Real head count, including adults, children, staff and anyone who might join late
- Whether the vehicle waits with the group or returns later
- Luggage and equipment volume — this often decides the vehicle, not seat count
- Accessibility needs, raised now rather than on the day
- Who is paying and how — invoice, purchase order, card
The three things that blow up group trips
First, access: a vehicle that physically cannot reach the pick-up point. Second, timing: planning from the departure time instead of the check-in cut-off. Third, headcount drift: booking for the optimistic number and discovering six more people on the morning. All three are avoidable at quote stage.
Building a realistic day
Add fifteen minutes to every boarding. Add more if the group includes children or anyone with mobility needs. Assume the last stop runs late, because it always does. A schedule with no slack is a schedule that fails at the first delay.
If alcohol is involved
Charter transport is the right answer for functions, tastings and celebrations — that is most of why it exists. Alcohol consumed on board is only permitted where the vehicle and booking allow it and it has been agreed in writing beforehand, so raise it at quote stage rather than assuming.
For schools and organisations
Ask for the compliance documentation early: certificate of currency, operator accreditation confirmation, and blue card confirmation for school work. Procurement approval is usually the slowest part of the process, and starting it at booking rather than after the quote saves about a week.
What a good quote looks like
- Named vehicle class and seat count
- Pick-up time and address, and the return time
- What is included, and what is not
- How waiting time is charged, if at all
- Third-party costs identified separately
- Deposit amount and cancellation terms

Questions about planning a group trip
How far ahead should I book group transport?
For peak periods — whale season, school formals, the Muster weekend, the Christmas function run — as early as possible. Outside those, a couple of weeks is usually workable.
What is the single most common mistake?
Giving a suburb instead of an exact address. Coach access is decided by turning circle and set-down point, not by the suburb name.
Should I book the activity or the bus first?
The activity, always, if it has fixed departure times. Boats, flights and ticketed attractions are the fixed points; transport arranges around them.
